Penn State / Hershey Medical Center Auto Physical Damage Workflow

University Vehicles to be repaired at the OPP Garage

  1. All claims to be reported by the Penn State Risk Management Office to Travelers.
  2. Claim will be assigned to Travelers Cleveland office.
  3. Field appraiser will be assigned to inspect damaged vehicle at OPP Garage. Estimate will also be emailed to Peg Janowiak ([email protected]) and Dave Demko ([email protected]). Shop to order parts and start repairs after estimate is completed by Travelers appraiser.
  4. Payment to be issued to The Pennsylvania State University c/o Risk Management Office less any applicable deductible. Notification and payment will be forward to the Financial Officer from the Risk Management Office.
  5. If repair facility finds additional damages during the repair process, then OPP Garage will contact Travelers supplement hotline (phone number is listed on appraisal provided) so that Travelers appraiser can review supplement request. Any supplemental repair check will be made payable to The Pennsylvania State University and sent c/o Risk Management Office. Additional payment will be sent to the Financial Officer from the Risk Management Office.

Vehicles to be repaired at the Concierge shops

  1. All vehicle accident claims will be reported by the Penn State Risk Management Office, not the Concierge shop to Travelers.
  2. Concierge facility will complete an estimate for the damaged vehicle. Concierge shop may ask for an authorization to commence repairs. If this request is made please have them send the authorization to the Claims Supervisor by fax to (814) 865-4029. Estimate and photographs will be emailed to Penn State Risk Management Office by the assigned Traveler’s adjuster.
  3. Payment to be issued to the Penn State Risk Management Office less any applicable deductible. Check will be sent to the Financial Officer or appropriate party with financial responsibility for making payments to the repair shop.
  4. If repair facility finds supplemental damage, the Concierge shop will notify Travelers. Penn State Risk Management Office will be emailed the supplemental estimate and mailed a check for the subsequent damages. Any additional checks will be mailed to the Financial Officer.

Vehicle to be repaired by another repair facility not listed in the addendum

  1. All vehicle accident claims will be reported by the Penn State Risk Management Office.
  2. Travelers' field appraiser assigned to visit the repair shop or vehicle location (if vehicle is unsafe to drive) for inspection. Completed appraisal will be provided to the repair facility and a copy will be emailed to the Penn State Risk Management Office. Appraisal will be forwarded to the college or unit.
  3. Payment to be issued to the Penn State Risk Management Office less any applicable deductible. Check will be forwarded to the Financial Officer or appropriate party with financial responsibility for making payments to the repair shop.
  4. If repair facility finds supplemental damage, the Concierge shop will notify Travelers. Penn State Risk Management Office will be emailed the supplemental estimate and mail a check for the subsequent damages. Any additional check will be mailed to the Financial Officer.

General Points

Our Travelers field appraisers can inspect vehicle at any location. If a vehicle is safe to drive and still in day to day use, our field appraiser can make arrangements to see the vehicle on campus or elsewhere before vehicle is taken to any repair facility. The Travelers appraiser will complete an initial estimate and we will forward to the applicable shop. From that point, the shop can order parts and schedule in the repairs when it is convenient for all parties.

If the vehicle is at the repair shop of choice and is not able to be driven safely or is to remain there until the repairs are completed the Travelers field appraiser can complete the estimate at the repair facility.

Copies of estimates at this time will only be provided to the following parties:

  • Penn State - Risk Management Office - Jared Wise
  • Penn State - OPP Garage - Dave Demko (if the vehicle is to be repaired at the OPP garage)
  • Travelers Concierge shop another repair facility other than listed above by choice of Penn State or leasing dealership
